OrbitOps Pro vs Housecall Pro

Housecall Pro is built for home-service businesses that run on dispatch — real-time job assignment, a customer-facing app, and integrated marketing tools that turn completed jobs into reviews and referrals. OrbitOps Pro is built for small to midsize service businesses whose day is a route, not a dispatch queue: recurring stops generate themselves, materials bill as they're used, and the record of the work outlasts the people who did it.

Housecall Pro's product description verified from housecallpro.com, August 2026.

Both platforms schedule jobs, send invoices, and collect card payments. The structural differences are in how payments flow, what your accounting system receives, and how much customer detail leaves your field-service platform once the QuickBooks sync runs.

This page covers those architectural differences — the decisions baked into each platform that do not change with a settings toggle or a plan upgrade.

Architecture

Where OrbitOps differs structurally

These are design decisions built into each platform's architecture. They do not change with a plan upgrade or a feature toggle.

The payment keeps the name of the tech who took it

A payment taken in the driveway carries that technician's name for the life of the record — including after they leave the company. The name is frozen onto the payment when it is taken, so it survives the account being removed. A payment with no tech against it reads as the office, never as unknown.

Corrections append, they never overwrite

For the trades that bill against a specific unit — HVAC and marine services, on Executive and Premier — once something is logged against that unit nobody can edit or delete it. Not the office, not a technician, not us. A correction is added as a new entry, so the history reads forward and nothing quietly changes underneath it.

No processing spread on payments

OrbitOps Pro does not add a fee on top of card payments. You connect your own Stripe account, funds settle directly into it, and Stripe's own processing rates apply. There is no additional percentage or per-transaction fee from OrbitOps Pro.

You are the merchant of record

Payments run through Stripe Connect. Funds land in the operator's own Stripe account — not in OrbitOps Pro's account first. Stripe carries the processing risk, and the operator's business name appears on the customer's card statement.

One codebase for every trade

OrbitOps Pro runs the same code path for every trade — pool service, HVAC, pest control, marine, and every other vertical. What changes is the trade configuration: which visit types appear, which compliance fields show, and which tools are on the menu. There is no separate edition built from a different fork.

Routes that build themselves, dispatch on the calendar

OrbitOps Pro generates recurring routes — the same stops, on the same cadence, without someone re-entering them each week. Dispatch runs off the calendar: a day's jobs sit against the tech or crew running them, and you move them as the day changes.

QuickBooks Online

One set of books, one system that feeds them

Both platforms integrate with QuickBooks Online. The difference is what the integration is. Housecall Pro's is an entity sync: it copies customers and invoices into QuickBooks and keeps the two sets matched. OrbitOps Pro's is a monthly summary: your books get the month's numbers, and nothing exists in two places.

What Housecall Pro syncs into QuickBooks

  • When a job for a new customer syncs, the customer is created in QuickBooks Online
  • Invoices sync alongside customer details
  • Field-mapping tables cover: name, company name, phone numbers, email address, customer notes, and full address

What a second copy costs

An entity sync means two systems each hold a copy of every customer and every invoice, and keeping those copies matched is now part of running your business. A name edited in one place, a duplicate created by a failed match, a batch that stopped partway — reconciling it lands on whoever does your books.

What OrbitOps Pro posts to QuickBooks

  • One monthly summary journal entry
  • Five lines: Billings, Revenue, Sales tax payable, Collections, Collections applied
  • Against your own chart of accounts
  • Operator-triggered — it posts when you tell it to

No customer names. No customer records. No invoices. No line items. No field mappings.

Verifiable from OrbitOps Pro's published privacy policy and data-handling page.

OrbitOps Pro owns the customer, the work and the billing; QuickBooks owns the books. One journal entry a month crosses that seam, so there are no duplicates to merge and no sync to troubleshoot — there is no sync. It also means your customer list never lands in your accounting platform. But the reason operators want it is simpler than that: month end is five lines, not a reconciliation.

Pricing

Published pricing, no call required

Both Housecall Pro and OrbitOps Pro publish their pricing publicly.

OrbitOps Pro plans

Three plans: Signature at $149 a month, Executive at $349, and Premier at $549. Your own login is never a seat — three seats means three technicians, plus you. Additional seats are $20 per month. Pay annually and two months are free.

Scheduling, invoicing, and card payments are included in every plan. The plans differ on how much of the back office you want OrbitOps Pro to run — estimates, inventory, QuickBooks Online, route optimization, timesheets, and the money-recovery reports each unlock at a specific tier.

Fit

Who this is a good switch for

Route-based trades

If your day is a route — pool service, pest control, landscaping — and the recurring schedule needs to generate itself without someone re-entering stops every week, OrbitOps Pro is built around that workflow.

Materials at the job site

If what the tech poured, installed, or applied should land on the invoice automatically and draw down from stock, OrbitOps Pro tracks materials at the visit and bills them as they are used.

The job changes once you're on site

In the repair and install trades, on Executive and Premier, the approved estimate runs the job and anything added in the field is billed as a marked overage — so the extra part fitted at 4pm is on the invoice, not in someone's memory.

Built for service operations

OrbitOps Pro is priced and designed for small to midsize service businesses: the schedule, the job site and the invoice, run by the people doing the work.

Questions

Common questions about switching

What is the main difference between OrbitOps Pro and Housecall Pro?

Housecall Pro is organized around dispatch and the customer-facing app. OrbitOps Pro is organized around the route and what the tech logged at the property. Payments are the other structural split. OrbitOps Pro takes zero percent of your card payments and you are the merchant of record, so funds land in your own Stripe account rather than passing through ours. No customer records, no invoices, no line items.

Does OrbitOps Pro charge a processing fee on card payments?

No. OrbitOps Pro does not add a fee on top of card payments. You connect your own Stripe account, funds settle directly into it, and Stripe's own processing rates apply.

Can I switch from Housecall Pro to OrbitOps Pro?

Yes. You create an OrbitOps Pro account, set up your trade, and begin scheduling. Your customer records, properties, and pricing are entered into OrbitOps Pro directly. QuickBooks Online stays connected to whichever platform you are actively using.

What exactly does Housecall Pro sync to QuickBooks Online?

According to Housecall Pro's own help documentation (article 6293215), when a job for a new customer syncs, the customer is created in QuickBooks Online. Invoices sync alongside customer details. The article contains field-mapping tables covering name, company name, phone numbers, email address, customer notes, and full address. OrbitOps Pro posts an operator-triggered monthly summary journal entry — five lines of accounting totals against your own chart of accounts. Nothing exists in two systems, so nothing needs reconciling; no customer records, no invoices, and no line items are sent.

Does OrbitOps Pro include dispatch?

Yes. Dispatch runs off the calendar: a day's jobs sit against the tech or crew running them, and you reassign them there as the day changes. Around that sit the recurring routes that build themselves, job-site logging, materials billing and summary accounting.

Your customers didn't sign up for our software — you did. Their names, addresses and phone numbers stay in your account. Your books get a month of totals rather than your client list, and our own support console can't display who they are.
